We are seeking an experienced and proactive Executive Assistant to support the Managing Partner / Partners at the firm. The ideal candidate should be highly organized, possess excellent communication skills, and be capable of managing a variety of administrative tasks in a fast-paced working environment to ensure smooth workflow for the Managing Partner / Partners.

Responsibilities:

Act as the primary point of contact for the Managing Partner / Partners, managing and prioritizing their calendars, schedules and deadlines efficiently.

Coordinate and schedule meetings, conference calls, interviews, and appointments for the Managing Partner / Partners

Prepare and edit correspondence, presentations, reports, and other documents, as required.

Conduct research and gather information for presentations, client meetings or conferences, if required.

Liaise with attorneys, paralegals and internal staff on behalf of the Managing Partner / Partners, maintaining a professional and courteous demeanour.

Handle travel arrangements, accommodations, and itineraries for the Managing Partner / Partners, as needed.

Assist in managing the Managing Partner’s / Partners’ expenses, reimbursements and billing activities.

Maintain confidentiality of sensitive information and documents at all times.
Qualifications:

Bachelor’s degree with any specialisation

Proven experience as an Executive Assistant, preferably in a legal or professional services environment.

Knowledge of legal terminology and processes is advantageous.

Exceptional organizational and time-management skills with the ability to multitask and prioritize effectively.

Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

Excellent written and verbal communication skills.

Discretion and the ability to handle confidential information with integrity.

Proactive and adaptable with a strong sense of professionalism and attention to detail.
